Full Job Description :-
The Office of Student Support Services has an opening for an Administrative Office Associate II. The candidate selected must be a people person and must understand/demonstrate the importance of confidentiality. Additionally, the candidate selected for the position must also perform consistently at a level of high proficiency in the use of technology in carrying out the duties and responsibilities of the position. The Office of Student Support Services specifically desires candidates who have successful experience in daily use of Microsoft Word and Excel, in addition to the other Microsoft Office Suite applications. Candidates with proven dynamic organizational and customer service skills; as well as strong written and oral communication skills are highly preferred.
GENERAL RESPONSIBILITIES
Provide administrative secretarial support, responsible for the overall smooth operation of an office, may coordinate the work of other clerical and/or classified personnel.
ESSENTIAL TASKS

Develop complex correspondence, reports, minutes, lists, forms, tables, memorandums, etc.
Respond to general inquiries regarding departmental matters.
Type complex correspondence, reports, minutes, lists, forms, tables, and memorandums from rough drafts or oral instruction.
Draft routine correspondence for director’s signature.
Place and receive telephone calls/messages.
Record staff attendance; collect and review salary vouchers.
Prepare monthly reports and reimbursements.
Record annual, sick and personal leave.
Obtain, gather and organize pertinent data as needed, and input into usable form utilizing word processing and spreadsheets.
Assist the Director in compiling and completing budget reports.
Render advanced level administrative assistance to the Executive Director.
Maintain confidential files of correspondence, forms, reports, etc.
Perform related work as required.

KNOWLEDGE, SKILLS AND ABILITIES
Thorough knowledge of commonly accepted business practices; ability to organize and assist in a wide variety of projects; ability to answer inquiries and assists the general public in a courteous manner; advanced knowledge and expertise in the operation of personal computers with word processing and spreadsheet applications; ability to supervise a small group of clerical/secretarial personnel possessing a wide variety of skills; ability to understand complex oral and written instructions.
EDUCATION AND EXPERIENCE
High School Diploma. Extensive secretarial experience.
A comparable amount of training and experience may be substituted for the minimum qualifications.

Salary Range: From/To

Unified Experience Based Step Pay Scale: U12 Entry Level = $39, 141 VBCPS Employees: Employees eligible to seek a voluntary transfer, lateral transfer, or promotion should complete the Transfer Application. Entry Level salary will be awarded at the time of hire. Upon the return of the Virginia Beach City Public Schools Employment Verification Forms back from the candidate’s current and previous employers, the salary will be adjusted if creditable full-time experience is confirmed. Salary based on years of full-time creditable (directly related) work experience. Full range of benefits including health insurance, paid life insurance, paid sick/vacation leave and membership in the Virginia Retirement System. At the time of hire, six months (6 Days = 48 Hours) of vacation time (1 Day equates to 8 Hours of annual leave) for this 12 Month position. These days may be prorated based on start date in the position. Subsequent annual leave earned will be accrued each pay period; four hours each pay period during the month.
