The University of Washington’s Human Resources department has an outstanding opportunity for three people to join our team in support of the organization’s goal to move from paper records to electronic records management.

Whether you are looking to gain HR experience or have been managing records for years, you will be well suited for this position if you enjoy making daily progress on a larger goal and performing individual work as part of a larger team. The person in this project position performs a variety of clerical and administrative tasks. These tasks include accurately processing human resource documents, communications, and records, while maintaining absolute confidentiality. This position reports to the UWHR operations manager and supports various functions that keep the project running smoothly. Consistency, accountability, and timely communication are crucial to success in this role.

RESPONSIBILITIES:

Records Management

Support unit in the maintenance of records inventories to include the following:

collating and separating documents; alpha and numeric ordering, sorting and stacking of documents; filing of loose paperwork into correct folders; retrieving information contained in files; searching for data available from electronic sources; boxing up or unpacking various records and files; entering information for and printing specialty labels then applying them to folders; scanning of paper records; organize scanned documentation following specific guidelines with complete accuracy.

General Clerical Support

Perform other duties as needed in support of the project.

MINIMUM REQUIREMENTS:

High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

Physical attributes involve grasping of papers; standing, sitting and walking; stooping, bending and squatting; reaching overhead; climbing up on step stool, lifting (typically less than 25 lb., up to 50 lbs.), turning lever of moveable shelving and navigating aisles of file room.

Intermediate computer skills, including but not limited to demonstrated experience with the following: Email, word processing, spreadsheets, organizing documents in File Explorer

Ability to carry out detailed written or oral instructions, and ask questions when guidance is needed

Solid time-management skills to complete tasks while receiving interruptions and new demands of work time

Ability to successfully interact with a culturally diverse population

Ability to consistently apply sound judgment, critical-thinking, and maintain a high level of confidentiality

Time tracking of hours worked into Workday at end of each shift
