Montana State University (MSU), the University of Idaho (UI) and Utah State University (USU) are partners with Washington State University (WSU) in its Regional Program in Veterinary Medical Education to serve the states of Washington, Idaho, Montana, and Utah. This innovative and highly successful program, known as the Washington-Idaho-Montana-Utah (WIMU) Regional Program, serves students in the Northwest and northern Rockies. The WIMU regional program serves students with interests in all facets of the veterinary profession, whether they are interested in companion animals, horses or livestock, in private practice, industry or academia, or whether they are unsure. The opportunities available for DVM education in the WIMU regional program prepares graduates for entry into any of the exciting dimensions of veterinary medicine.
Duties and Responsibilities
Utilize professional knowledge, skills, and judgment to communicate the Director’s views and actions both in writing and orally in a clear and effective manner with all stakeholders at the university, state, regional and national levels. Information is often of a highly confidential nature, involving executive level staff, key volunteers and major University donors. Interactions must be handled personably, accurately, and efficiently.
To coordinate the program with regard to curriculum. This includes but is not limited to: course scheduling and registration, maintaining the schedule of classrooms, maintenance of course management and learning management environments, administration of online and in-person exams, manage grade reporting, and assisting in the development and facilitation of ongoing educational training.
Manage the program with regard to student affairs. This includes but is not limited to: Orientation, admissions interviews, student travel, compliance, calendaring, organizing and attending meetings with the students to gather feedback and to promote professional conduct and extracurricular activities and the planning and execution of all events.
Act as the Office Manager for WIMU, including but not limited to: ensuring the office runs smoothly and efficiently; supervising personnel and student employees in the office; purchasing needed equipment, overseeing the purchasing of supplies, maintaining aesthetics of the space, attending Advisory Board and other meetings, writing agenda and meeting minutes, newsletter articles, progress reports, ensure data and files are kept in accordance with policy, interpret and implement MUS/MSU policies and procedures.
Fiscal management for WIMU. In close collaboration with the Department Head, Dean’s office, and Fiscal Shared Services, performs many fiscal and budgeting functions. Serves as liaison with Fiscal Shared Services for centralized transactional accounting services. Duties include assisting with budget planning, compiling audit materials and management reports, reviewing monthly financial reports and adjusting as needed, reconciling diverse departmental accounts (i.e.; auxiliaries, state, and designated) and/or the cost control systems related to those areas, process purchase orders, DPO’s, PD-1s, advance requests, travel forms/vouchers, collecting funds, and issuing receipts.
Maintain and foster a team environment. Schedule and organize faculty development meetings and faculty meetings.
Act as liaison with the Bozeman Clerkship Coordinator. Responsibilities primarily include event planning and room scheduling.
Oversee the MSU and Foundation WIMU accounts and act as liaison with the MSU Alumni Foundation.
Required Qualifications – Experience, Education, Knowledge & Skills
A Bachelor’s Degree and progressively responsible administrative/office management experience with an emphasis customer service, or an equivalent combination of relevant education and experience.
Demonstrated competence organizing and managing events, and/or prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
Demonstrated competence using personal computers and various software such as Microsoft Word, Excel, PowerPoint, and Outlook.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Demonstrated experience effectively interpreting and communicating detailed information, procedures, and directions clearly and accurately, in person, by telephone, and through business correspondence to a wide variety of individuals both internal and external to the organization.
Demonstrated experience creating, editing and formatting professional documents such as financial reports, business correspondence, and spreadsheets, and reviewing/revising complicated, detailed documents.
Demonstrated experience working in an academic environment.
Experience applying and interpreting applicable institutional, local, state, and federal regulations and related standards, guidelines, and policies.
