The Service Dispatcher coordinates the schedules of the workmen and the customer, the prompt distribution of materials, and the electronic, paper, and telephone communication between the company and purchasing party. The Dispatcher maintains the flow and efficiency of completing the operations process. Pay Rate: $20 per hr. and up depending on experience.
Handles coordination requirements, material and warranty purchases and returns, literature gathering, and all incoming customer requests for service, schedules the work according to needs and priorities, and dispatches appropriate service technician(s) to handle the work and maintain a smooth service operation
Coordinates with customer and confirms the time a service technician has been scheduled to perform the required work
Promptly and accurately complete all required paperwork (time cards, job set up, purchase orders
Maintains frequent communications with the field, sales and management personnel
Communicates to customer immediately when schedules change or requests cannot be accommodated (makes efficient use of the voice mail system)
Keep supervision informed of news; changes made, disenchantment with price etc.
Provides customer with confirmation of work completed with phone calls, reports and invoices
Demonstrates capability and interest in training others
Assures that no work is performed outside contractual obligations without compensation
Provides sales with qualified leads and alerts sales about competitive sales efforts
Knows who in sales is responsible for each account
Schedules service to satisfy contract requirements and optimize manpower utilization while monitoring customer satisfaction
Schedule service techs 3 days in advance to minimize unallocated time and general office confusion
Other duties as assigned
2 year business education and 3 years of dispatch experience or relevant administration/coordination experience
Computer literacy and capability to communicate effectively, both verbally and in writing
Ability to handle a heavy work load of calls while maintaining a high degree of accuracy
Alcohol and Drug-free
Indoor, office environment
Routine sitting, lifting, bending, and kneeling
Ability to lift 25 lbs. from floor to countertop and countertop to floor
