Full Job Description :-
This is an entry level secretarial position involving performance of clerical duties, which will require good judgment based on knowledge gained through education and experience. This position performs secretarial and support services within the Community Development Department under the guidance of senior staff as assigned by the Community Development Director and is reviewed through observation, conversation, and evaluation of results obtained.
Essential Job Functions
Ability and/or willingness to learn to record and transcribe the minutes of various boards and committees as assigned (may require working some overtime each month).
Maintain files, records and related data in a neat and organized manner.
Prepare various types of correspondence, reports and memoranda from rough draft.
Answer telephone calls.
Work requires sitting for extended periods using a computer and dictation machine, preparing letters, reports, minutes, memoranda and other documents with great attention to detail.
Requires constant attention to detail, frequent reading of documents, and speaking with the public.
Performs any other duties or tasks assigned.
Graduation from high school or recognized equivalent certification, including or supplemented by clerical or office procedure course work (capable of typing 45 50 WPM); at least three (3) years experience in secretarial and/or office work; or a related combination of both.
Knowledge, Skills and Abilities
Highly knowledgeable in common English usage, grammar, punctuation and spelling.
Ability to recognize errors in spelling, grammar, and/or punctuation and correct.
General knowledge of standard formats for letters, memoranda, and reports and ability to type and/or use dictating equipment.
Ability to type 45-50 WPM.
Ability to work well with the public and to do research and follow up to various requests.
Familiarity with personal computers in general and initiative to investigate and learn all facets of Windows software and any other software as may be utilized in the department for maximum utilization.
Ability to learn and follow City and departmental policies and procedures.
Receive and understand written and verbal instruction, taking clear and accurate messages for others.
Requires occasional standing, bending, pushing, pulling, stooping and lifting up to 25 pounds, in maintaining office files, records and computer data files, using copier, label maker, and other office equipment as required.
Computer, typewriter, calculator, copier, label maker, tape recorder and transcribing equipment, and other office equipment as required and motor vehicle (automobile or possible small pick-up truck).
